⚖️Dispute Fees

🛡️ Dispute fee policy

Applies to: All collectives fiscally hosted by All For Climate Effective Date: November 2025 Owner: All For Climate (A4C) ASBL Implementer: All For Climate Back Office support team Reviewed: Annually or as needed

🎯 Purpose

This policy outlines how All For Climate (A4C) handles payment disputes initiated by donors through platforms like Stripe or PayPal, and clarifies who is responsible for the related fees. The goal is to ensure fair handling, transparency, and to minimize future disputes through proactive communication.

💳 What is a dispute?

A dispute occurs when a donor contests a contribution through their payment provider. This typically happens when someone intended to make a one-time donation but accidentally subscribed to a recurring (monthly) plan.

When a dispute is filed, A4C receives an official notification and must respond by providing:

  • Details of the original transaction

  • Our refund policy

  • Any relevant donor communication

In parallel, A4C will reach out to the donor directly to clarify the situation and attempt resolution.

💸 Dispute fees and responsibility

If a dispute is lost, the donor receives a refund, and A4C is charged an additional dispute fee of €15–€20 per case by the payment processor. These fees are specific to the collective involved in the disputed transaction.

Therefore, the collective concerned will be required to cover the related dispute fee.

📨 Process and communication

When a dispute is received:

  1. A4C will notify the collective involved immediately.

  2. A4C and the collective will coordinate on the response and share any useful context or documentation.

  3. Once resolved, A4C will inform the collective of the outcome and any financial implications (refunds or fees).

This collaborative process ensures clarity and shared accountability.

🧭 Preventing future disputes

To help reduce the likelihood of disputes, collectives are encouraged to:

  • Clearly communicate the difference between one-time and monthly donations.

  • Inform your donors that you are hosted by A4C (they will see thay in their payments overview)

  • Respond promptly to donor inquiries about payments.
